How the invoice generator works

The trade presets prefill sample line items at typical 2026 national rates from published cost guides — every number is a starting point to edit, not a quote for your market. What a valid invoice must include
A valid U.S. invoice includes the word “Invoice,” a unique invoice number, your business name and contact details, the client’s name, an issue date, a payment due date, itemized services with quantities and rates, the subtotal, any tax or discount, the total due, and payment instructions. No federal law prescribes a specific format.
The math is simple: Total due = (Subtotal − Discount) + Tax, where Tax = (Subtotal − Discount) × your tax rate %. Each line item’s amount is quantity × rate. Set clear terms — “Due on receipt,” Net 15, or Net 30 (payment due 15 or 30 days after the issue date) — and repeat them in the notes so there’s no ambiguity about when you get paid.
Worked example: a lawn care invoice in Texas
Texas is one of the states that taxes lawn care and landscaping, so this example shows the full math including sales tax at the 8.25% maximum combined state-plus-local rate (Texas Comptroller, Pub. 94-112). In a state that doesn’t tax your service, leave the tax rate at 0%.

Invoice vs. estimate vs. receipt
Independent pros use all three documents at different points in a job. Send the estimate before work starts, the invoice when the work is done, and a receipt once you’ve been paid. Selling an item instead of a service? What you want is a bill of sale.

Tax paperwork is separate from all three: U.S. self-employment income is reportable whether or not any form arrives. Frequently asked questions
Do I need an EIN or an LLC to send an invoice?
No. A sole proprietor can invoice clients under their own name and Social Security number — no LLC, EIN, or registration is required just to bill for work. You only must get an EIN once you hire employees or file certain returns, and it is free at IRS.gov.
How should I number invoices?
Use a simple sequential scheme and never reuse a number. This generator suggests the year plus a running count (2026-001, 2026-002…). Consistent numbering makes bookkeeping, taxes, and payment disputes much easier and looks professional to clients.
Do I charge sales tax on services?
It depends on your state. Most states tax only specific services, while Hawaii, New Mexico, and South Dakota tax nearly all of them; Texas, for example, taxes lawn care and cleaning. Check your state department of revenue before adding tax to an invoice.
Will I get a 1099 for invoiced work?
Maybe — but the income is taxable either way. For payments made in 2026, business clients issue Form 1099-NEC once they pay you $2,000 or more in the year, and payment apps issue Form 1099-K only above $20,000 and 200 transactions.
Is an estimate legally binding?
Generally no — an estimate is an educated approximation, not a fixed contract price. A detailed written quote a client accepts can become binding, so state that estimates are subject to change and add a valid-until date. This is general information, not legal advice.
